About the Role

We are looking for a proactive and organised Office Assistant to support our People & Culture Leader across the full employee lifecycle. This is a fantastic opportunity for someone with strong administrative experience who is looking to build a career in Human Resources. You will work closely with the Senior People & Culture Lead to ensure the smooth running of day-to-day HR operations, providing a reliable and professional service to employees and managers across the business.

Main Tasks & Responsibilities

Recruitment & Onboarding

  • Coordinate job postings across relevant platforms and track applications
  • Schedule interviews and manage candidate communications
  • Prepare offer letters, contracts, and onboarding documentation
  • Support the delivery of new starter inductions and ensure a smooth onboarding experience

HR Administration

  • Maintain accurate and up-to-date employee records within our BambooHR HRIS
  • Process employee changes including new starters, leavers, promotions, and contractual amendments
  • Respond to general HR queries from employees, escalating complex matters to the Senior People & Culture Lead
  • Prepare HR letters and correspondence including confirmation of employment, references, and contract variations

Payroll & Benefits Support

  • Compile and submit payroll data to the payroll team in a timely and accurate manner
  • Assist with the administration of employee benefits, including enrolments and queries
  • Track and maintain absence and leave records by reporting these for payroll processing in a timely manner

Learning & Development

  • Coordinate training schedules and communications as required
  • Maintain training records and assist with reporting on L&D activity

Occupational Health & Safety

  • Assist in the administration and coordination of OHS programs, policies, and procedures across the business

HR Projects & Reporting

  • Support the HR team with people projects, initiatives, and policy updates
  • Assist in the preparation of HR reports and data analysis as required
  • Contribute to the continuous improvement of HR processes and templates

General Support

  • Provide general administrative support
  • Assist in organising company events, wellbeing initiatives, and team activities - including but not limited to - organising the ordering of breakfast stock for Sydney office, Co-ordinating coffee weekly event, Organisation of the Quarterly lunch event for the Sydney team.
  • Support the organisation of Customer Experience events as required
  • Stock take and ensure Finance are on top of ordering supplies for Sydney Office
  • Act as a first point of contact for HR-related enquiries, maintaining confidentiality at all times

About You

Essential

  • 2+ years of experience in an administrative or team assistant role, ideally within a fast-paced or professional services environment
  • 3 Days in office required
  • A genuine desire to develop a career in People & Culture
  • Exceptional organisational skills with strong attention to detail
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Ability to handle sensitive and confidential information with the utmost discretion
  • A proactive, can-do attitude with the ability to manage competing priorities

Desirable

  • Some exposure to HR processes, policies, or employment administration
  • Experience using an HRIS System such as BambooHR
  • Studying towards or an interest in pursuing a career in HR
  • Experience working in a technology or growth-stage company
