We’re seeking a Client Services Administrator who thrives on process, structure, and delivering outstanding customer support. In this role, you’ll work alongside our account managers and technical team to ensure all ATO, ASIC, and other regulatory obligations are handled smoothly, professionally, and on time.
You’ll be the primary point of contact for compliance-related client communications and documentation, while also driving internal workflows to ensure our lodgement and regulatory obligations are met early—not just on deadline.
This is a full-time role based in Sydney with flexibility to accommodate the right candidate who may prefer part-time hours (e.g., school hours or 3–4 days/week).
The ideal person will bring 4–5+ years of experience in a public practice accounting firm , be confident liaising with regulatory bodies, and understand the tools, tone, and timing required to deliver a high-quality client experience.
Key Responsibilities
Client Communication & Admin
Liaise directly with clients regarding ATO, ASIC, Revenue NSW and other government agency correspondence.
Be the first point of contact for regulatory lodgement-related queries.
Maintain a professional and empathetic tone when dealing with sensitive compliance matters.
Manage client signature workflows through DocuSign and Dropbox Sign, ensuring accuracy of all documents before lodgement.
Regulatory & Compliance Workflow
Own the ATO, ASIC, OSR and general lodgement workflow and proactively drive early completion.
Lodge ATO activity statements, tax returns, and other regulatory documents via Xero Tax, NowInfinity, and other tools.
Submit ASIC company changes (e.g. director/shareholder/address updates) on behalf of clients.
Negotiate payment arrangements with the ATO.
Track and manage all regulatory deadlines in Asana and XPM.
Client Onboarding & Support
Manage the onboarding experience for new clients, ensuring all compliance documentation, engagement letters, and checklists are completed.
Support account managers in preparing and circulating board papers, sensitive reports, and meeting documents.
Maintain client records across Dropbox, FYI Docs, and other key software platforms.
Executive & Internal Support
Provide light executive assistance to the Director (e.g., basic calendar/inbox support, document prep).
Assist with internal compliance documentation and workflow support for the Head of Operations.
Coordinate team checklists and maintain internal delivery standards.
