About the Role

  • Oversee comprehensive diary management and coordination of meetings, both internal and external, for executives and the broader investment team
  • Manage inbox communications on behalf of key executives, ensuring timely responses and prioritisation
  • Coordinate domestic and international travel arrangements for executives and the wider investment team
  • Provide logistical and administrative support in the delivery of key projects and initiatives
  • Support the planning and execution of team conferences and events in collaboration with the Business Manager
  • Prepare and submit monthly expense reports for executives and the investment team
  • Process invoices for the Chairman
  • Manage ad hoc executive support requests, including private non-work-related matters such as travel transfers and flight assistance
  • Assist with investment committee, pipeline, and credit meeting agendas when required
  • Manage stakeholder relationships across internal teams, senior leadership, and external partners
  • Assist with onboarding and offboarding processes in coordination with HR and IT
  • Maintain confidential records, contracts, and sensitive documentation
  • Support recruitment processes, including interview coordination and candidate engagement
  • Manage team operational requirements, including workspace planning and IT assistance
  • Act as a key point of contact during executive absences

About You

  • Minimum 10 years’ experience in a corporate Executive Assistant role
  • Proficient in MS Office Suite (advanced Word, Excel, and PowerPoint skills)
  • Strong time management skills with the ability to manage multiple priorities in a fast-paced environment
  • Excellent communication skills and ability to engage with senior stakeholders
  • Highly organised with strong attention to detail
  • Adaptable, proactive, and outcome-focused
  • Tech-savvy with the ability to quickly adopt new systems
  • Strong problem-solving skills and ability to anticipate executive needs
  • Confident in taking ownership and accountability
