Administration Manager (Portfolio)

We are seeking a proactive Administration Manager to join our Melbourne office (80 Collins Street), supporting a portfolio of 12 neighbourhood centres. This is a hands-on role focused on delivering high-quality administrative, financial, and operational support. Reporting to the Portfolio Centre Manager, you will manage centre communications, support arrears and reporting processes, and ensure accurate administration and compliance across the portfolio. This role offers career progression, gaining exposure to broader head office operations. It is well suited to someone with aspirations to grow into a Retail Manager role, supported by mentorship and development opportunities within the business.

Key responsibilities

  • First point of contact for customer queries, inbox management and query resolution
  • Supporting arrears management to achieve company targets
  • Support monthly reporting and sales figure reporting
  • Ensuring that all aspects of income and expenditure of the Centres are entered, maintained and reported accurately
  • Support Centre administration and compliance requirements

We are looking for applicants with the following experience and attributes:

  • Administration experience in retail property highly regarded
  • Minimum 5 years Administration and customer service experience
  • Demonstrated experienced with arrears management
  • Strong financial acumen with experience supporting monthly reporting and reconciliations
  • Excellent stakeholder management and communication skills
  • Proactive and driven to deliver results with excellent time management skills
