What you’ll be doing
As an important member of our team based in Las Condes, Santiago, you will be accountable for the day-to-day administration and operation of the office. You will have strong finance skills with experience of accounts payable, reconciliations and associated administration tasks. By efficiently managing administrative tasks, you'll empower the team to concentrate on driving customer growth.
You will provide operational support to the Trade Commissioner and the team based in Santiago and remotely to the Colombia based Country Manager, managing office logistics, handling invoice processes, overseeing team finances, and ensuring seamless payroll and budgeting support for the office. You will also be responsible for managing office vendor relationships, supporting IT related activities, local visits of business and ministerial delegations, event support and logistics.
What you’ll need to be successful
Fluency in both English and Spanish is essential for this role, and our ideal candidate will bring:
· Outstanding administrative service delivery – you bring value to the office by providing a world class service to NZTE.
· Having excellent and collaborative relationships with key stakeholders, as you will be working closely with colleagues within Latin America and globally.
· Possess a proactive attitude, excellent problem-solving skills, actively seeking work or identifying ways to improve processes, systems and practices.
· You’ll be highly organised with the ability to juggle priorities and meet strict deadlines for administration and finance tasks.
· Be a key player in the efficient running of the finance function – you own your part of the financial process to keep the Santiago and Colombia finances running smoothly and within deadlines. This includes payroll management, invoices, cash flow forecasting, bank reconciliations, asset management and internal and external audits are completed in a timely manner. A Finance related qualification is advantageous but not required if you have existing strong experience within finance functions.
· With the addition of: - Tech-savvy with proficiency in MS Office (Word, Excel, PowerPoint, Teams & SharePoint) and database software.
Please note this role has an internal title of Office Manager.
