The Opportunity
We are seeking a bright, motivated, and highly organized Executive Assistant & Program Manager to support the Managing Director, India. This role combines high-level administrative support with strategic program management.
You will be at the forefront of keeping our operations running smoothly while independently supporting key policy programs and events. You will be trusted to handle confidential information, manage complex priorities with calm agility, and produce high-quality deliverables that support our narrative with policymakers and regulators.
Key Job Responsibilities
Executive Assistant Support & Operations:
● Calendar Management: Manage complex and frequently changing calendaring and scheduling requirements; preempting and triaging competing incoming demands to ensure the exectuive’s time is aligned with business priorities.
● Travel Coordination: Orchestrate end-to-end domestic and international travel arrangements, including itineraries, visas, and logistics.
● Stakeholder Liaison: Act as a bridge between the VP and other teams, including the global public affairs team, international legal teams, and external stakeholders.
● Expense & Operations: Manage expense processing, budget tracking, and ensure timely completion of key operational deliverables.
Program Management (Policy Programs, Offsites & Conferences):
● Event Strategy & Execution: Independently lead the planning and execution of large-scale internal and external events, including leadership offsites, policy conferences, and team summits. This includes content curation, logistics, and vendor management.
● Policy Program Delivery: Support specific aspects of public policy programs from concept to completion. You will be responsible for defining timelines, managing independent workstreams, and ensuring high-quality output that aligns with our public policy goals.
● Deliverables & Output: Produce professional deliverables such as program briefs, post-event reports, and presentation materials. You will be expected to synthesize information and create outputs that assist in our policy advocacy and narrative-building efforts.
● Cross-Functional Coordination: Work collaboratively with business leaders and corporate affairs teams to ensure that program objectives align with our broader mission and address crucial issues affecting our customers and investments.
Basic Qualifications
● Experience: 12+ years of experience as an Executive Assistant / Program Manager reporting to a CXO / Managing Director / Head of Department, preferably within a fast-paced multinational, large Indian corporate, or a professional services firm.
● Education: Bachelor’s degree in Commerce, Economics, Arts, Political Science, Public Administration, Communications, or a related field.
● Program Management: Demonstrated ability to manage projects and events independently, with a track record of delivering successful outcomes on time and within budget.
● Communication: Excellent verbal and written English communication skills, with the ability to draft professional correspondence and program materials.
● Technical Skills: Advanced proficiency in the Google Suite (Docs, Sheets, Slides) or Microsoft Suite (Word, Excel, PowerPoint, and SharePoint)
Preferred Qualifications
● AI/ML Proficiency: Familiarity with emerging AI tools and capabilities, with a commitment to experimenting with and driving opportunities for AI-based efficiency gains in daily operations.
● Policy Experience: Experience working in Public Policy, Government Affairs, or with government agencies/legislative bodies.
● Advanced Education: A Master’s degree in Public Policy, Law, or International Affairs.
● Industry Knowledge: Familiarity with the consumer internet or tech industries and the policy issues impacting them.
● Agility: Ability to work under pressure, establish priorities, and effectively coordinate work with the rest of the organization.
